Holdback ledger

A private ledger of progress claims and holdback releases.

Payment on a construction project is a chain of claims and certifications between companies that do not fully trust each other. When several of them need one record nobody can rewrite, a private permissioned ledger fits. When everyone trusts the general contractor's system, a shared database is cheaper.

// what matters here

What is different in this industry.

01

One record of what was certified

A certification signed by the consultant and the owner is the same on every node, so no one argues later about what was approved.

02

Trades see their own money

Each trade sees the status of its own claims and holdback, and nothing about anyone else's, which ends a lot of phone calls.

03

Holdback dates tracked

Holdback is recorded with the dates your contract and provincial builders lien and prompt payment rules set, and the parties are alerted as they approach.

04

Money still moves the usual way

Payments go through your bank as they do today. The ledger records what was claimed, certified and paid, so everyone works from one list.

Progress claim and holdback ledger

Hypothetical. Not a client, not a result.

// The problem

Owner, general contractor and trades each track progress claims, approvals and holdback in their own spreadsheets, and disagree about what was certified and when.

// What we would build

A private permissioned ledger where the owner, the general contractor and the major trades each run a node and record claims, certifications, change orders and holdback releases once, with a portal for each party. On a project where everyone trusts the general contractor's system, a shared database does the job and we will say so.

// What is in it

  • Approved claims and holdbacks posted to QuickBooks Online, built on the QuickBooks Online API
  • A node for the owner, the general contractor and each major trade
  • Progress claims, certifications and change orders recorded once and signed
  • Holdback held and released by the dates your contract and provincial rules set
  • Each trade sees the status of its own money, and only its own
  • Exports to each party's accounting system

// Stack

  • Hyperledger Besu (private, permissioned)
  • Next.js
  • PostgreSQL
  • Accounting system integration
  • AWS

// questions

Questions we get about this.

Do subcontractors need to run a ledger node?

Major trades can, smaller ones usually sign in to the portal instead. The node count is set by who needs proof that the record has not been changed.

Does the ledger work out our lien obligations?

No. It records dates and amounts the way your contract and your advisers set them up. Whether a lien or holdback rule applies is a legal question for your advisers.

Is a payments ledger worth it on one project?

Usually only on a large project with many trades and an owner who wants the record. For a contractor with a steady group of trades, it pays off across many projects.
