Software for clinics

Your clinicians get their evenings back.

Your patients book by phone, your notes get finished after hours and referrals still arrive by fax. We build the portals, apps and private models that take that work off your front desk and your clinicians, and keep health records where they belong.

// what you are up against

The problems we hear most.

01

The phone is the booking system

Front desk staff spend the morning on hold, rebooking and reminding, while the online booking the EMR offers is too awkward for most patients to finish.

02

Notes after hours

Clinicians finish charting at night because the visit leaves no time to type, and the note is written from memory hours later.

03

Referrals by fax

Referrals arrive as faxed or scanned pages in every format, and someone reads each one to find the reason, the urgency and the missing test results.

04

Health data that cannot leave

Privacy law and patient trust rule out sending records to just any service, which stops many useful tools before they start.

// example projects

Systems we could build for you.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Patient portal with a mobile app

Hypothetical. Not a client, not a result.

// The problem

A group of physiotherapy and dental clinics books every appointment by phone, sends reminders by hand and collects intake forms on clipboards in the waiting room.

// What we would build

A patient portal and an iOS and Android app for booking, intake forms, reminders and payments, connected to the clinics' practice management system so the front desk sees one calendar.

// What is in it

  • Online booking against real clinician availability, per clinic
  • Intake and consent forms filled in before the visit, stored with the chart
  • Reminders by push, text and email, with rebooking from the message
  • Payments and receipts for services not covered by public plans
  • English and French throughout
  • Health data hosted in a Canadian region, with access logged

Private clinical note assistant

Hypothetical. Not a client, not a result.

// The problem

Clinicians spend their evenings finishing notes, and the clinic cannot send recorded visits to an outside AI service.

// What we would build

An assistant that transcribes the visit with the patient's consent and prepares a structured note for the clinician to review, edit and sign, on open-source models running on a GPU server in the organisation's own data centre, so no audio or text leaves it.

// What is in it

  • Consent captured before recording, and recording that stops on request
  • Speech to text and a structured note in the clinic's own templates
  • The clinician reviews, edits and signs; nothing is filed without them
  • Notes filed to the EMR through its interface
  • An evaluation set from real, de-identified visits, run before every change

Referral intake and routing model

Hypothetical. Not a client, not a result.

// The problem

A specialist clinic receives referrals as faxes and scans in dozens of layouts, and staff read every page to find the reason, the urgency and what is missing.

// What we would build

A custom model fine-tuned on the clinic's own de-identified referrals that reads each one, pulls out the fields, flags missing results and suggests a queue, with a person confirming every referral before it is booked.

// What is in it

  • Faxes and scans read into structured fields: reason, urgency, referring clinician
  • Missing test results flagged, with a request to the referrer prepared
  • A suggested queue and priority, confirmed by staff
  • A model fine-tuned on your referrals, scored against a held-out set

Shared clinician credential ledger

Hypothetical. Not a client, not a result.

// The problem

Clinicians who work across several hospitals and clinic groups are credentialed again by each one, with the same licences and certificates checked by email every time.

// What we would build

A credentialing portal where each organisation records the checks it has done, on a private permissioned ledger the organisations each run a node of, so a verified licence or certificate is accepted by the others and nobody can alter a past record.

// What is in it

  • Clinician profiles, licences and certificates uploaded once
  • Each verification recorded on a private chain with a node per organisation
  • Expiry alerts for licences, certifications and insurance
  • Privileges granted per site, visible to the organisations that share them
  • Audit export for accreditation reviews

Hypothetical. Not a client, not a result.

// The problem

A group of clinics faxes referrals, re-keys lab results and phones pharmacies, because its EMR, booking system and partners' systems do not talk to each other.

// What we would build

// questions

What buyers in this industry ask us.

Do you follow HIPAA and Canadian law?

We build to the rules that apply to you, such as PIPEDA, provincial health privacy acts and HIPAA for US patients, working with your privacy officer. We do not give legal advice.

Can everything be hosted in Canada?

Yes. Hosting, backups and model serving can all stay in a Canadian region or on your own servers.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the code and the models?

You do, once the work is paid for, including models fine-tuned on your data.

// where we work

Find your market.

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
