Members database

Your old members database, moved and made safe.

Many communities keep their most personal records in a database a volunteer built long ago, on one computer, with no backup. We move every record out, check it with you, and rebuild the register so it is private, backed up and easy for the office to use.

// what matters here

What is different in this industry.

01

Nothing lost on the way

Every record moved and counted, with the differences shown to your office before anything is switched off.

02

The old system kept read-only

Your old database stays readable until you are happy to retire it.

03

Roles and a log

Who can see which records is set by role, and every change and export is logged.

04

Backed up every night

Nightly backups in Canada, tested by restoring them.

// example projects

Priced examples for this service.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Example projectWeb app

Members register, rebuilt

Hypothetical. Not a client, not a result.

// The problem

A community centre keeps its members and families in an old Access database on one office computer, with no backup and no record of who has looked at what.

// What we would build

We move every record out of the old database, check it with your office team, and rebuild the register as a small web app with roles, so a group leader sees only their group, the office sees what it needs, and every change and export is logged.

// What is in it

  • Every member, family and group moved out of the old database, and checked with you
  • Roles so group leaders see only their own group
  • A log of every change and export
  • Consent recorded for photos, mailing lists and directories
  • Backups every night, and the old database kept read-only until you retire it

// Stack

  • Next.js
  • PostgreSQL
  • Access and spreadsheet import
  • DigitalOcean Toronto

// questions

Questions we get about this.

Our database was built by a volunteer who has moved away. Can you still read it?

Almost always. Access, FileMaker and spreadsheets can be read directly. We check a copy of yours before we quote.

Do we have to retrain everyone?

A short session for the office team is usually enough. The new screens follow the way you already work.

Can we keep the paper consent forms?

Yes. Consent can be recorded against each member, with the scanned form attached if you want it.

Not quite your project?

Tell us what you have in mind. We will come back to you with a range and the questions that would narrow it. Or book a call and talk it through.
