AI for freight booking

Agents that read load tenders and prepare them in your TMS.

Freight runs on email. An agent that reads tenders, pulls out the details and prepares the load in the TMS takes the retyping away, as long as a person approves before anything is booked. For routine tender data, a frontier model through its API is usually the quickest route to start.

// what matters here

What is different in this industry.

01

A person approves every load

The agent prepares the load and shows where each field came from; a coordinator confirms or corrects it before it enters the TMS.

02

Every layout, not one template

Tenders arrive as emails, PDFs and spreadsheets from each customer's own system. The model reads them as a person would, with no template to maintain per customer.

03

Checked against your rules

Lanes, accessorials and rate sheets are checked in code after the model reads the tender, so a wrong rate is flagged rather than booked.

04

Measured on your own tenders

A set of past tenders with the right answers is run before every change, and a change that reads worse does not ship.

Hypothetical. Not a client, not a result.

// The problem

Load tenders and rate requests arrive as emails, spreadsheets and PDFs in every layout, and a coordinator retypes each one into the TMS before anyone can quote.

// What we would build

An agent that reads each tender, pulls out origin, destination, dates, weights and references, checks them against the customer's lanes and prepares the load in the TMS for a coordinator to approve. It runs on a frontier model through its API, the fastest way to start, because tenders are routine commercial data the provider handles under its business terms.

// What is in it

  • Inbox watched for tenders, rate requests and changes to existing loads
  • Fields read from emails, PDFs and spreadsheets, with the source line shown
  • Checks against customer lanes, accessorials and the rate sheet
  • Load created in the TMS only after a coordinator approves it
  • Evaluation set of past tenders, run before every prompt or model change

// questions

Questions we get about this.

Does our tender data go to the model provider?

On the frontier route, yes: tenders are sent through the provider's API under its business data terms. If a customer contract forbids that, an open-source model in your own cloud keeps them private, priced as its own option.

What if the booking agent is unsure of a field?

It says so. Low-confidence fields are highlighted for the coordinator, and a tender it cannot read at all goes to the queue exactly as it arrived.

Can it answer rate requests as well?

It can prepare a quote from your rate sheet for a person to send. Pricing decisions stay with your team.
