Housing system rescue

Off the old Access database, without losing a household.

Many housing providers still run their waitlist or rent roll on a database built years ago by someone who has left. It works until it does not. We review what you have, write down what to keep, rebuild it as a supported web system and move your records across with a reconciliation you can sign off.

// what matters here

What is different in this industry.

01

A review before a rebuild

We look at the old database, its forms and how staff use it, and give you a written plan before you commit to the build.

02

Every record moved and checked

Applicants, households, units and balances moved across and reconciled against the old system's totals.

03

Both systems side by side

The old file stays read-only for a period you choose, so staff can check anything that looks wrong.

04

No single person to depend on

The new system is documented, hosted and supported, so it does not live in one staff member's head.

Waitlist off the old database

Hypothetical. Not a client, not a result.

// The problem

A nonprofit housing provider runs its waitlist, offers and annual income reviews in a Microsoft Access database built years ago by a volunteer who has since left, and only one staff member knows how to run it.

// What we would build

We start with a short review of the old database, the forms behind it and how your staff really use it, and write down what to keep and what to drop. Then we rebuild it as a web system, move every applicant and household across with a check against the old totals, and retire the Access file. Applicants can see their status online in English and French. Priority rules are the ones your board and funder set.

// What is in it

  • A written review of the old database before any rebuild starts
  • Applicants, households and priority categories moved across and reconciled
  • Offers, refusals and move-ins recorded against each unit
  • Annual income reviews with reminders and document uploads
  • Applicants check their own status online, in English and French
  • Reports for your funder from the same records

  • Access export scripts

// questions

Questions we get about this.

Our waitlist database is in Access. Can you read it?

Yes. We export the tables, forms and queries, and the review explains what each one does before anything is rebuilt.

Will applicants lose their place on the waitlist during the move?

No. Application dates and priority categories move across as they are, and the new list is checked against the old one before go-live.

Can the review stand alone if we are not ready to rebuild?

Yes. The review is the first part of the project; it is yours to keep and to use with anyone.
