Housing back office

Members, units and votes, kept in one place.

Your co-op, housing society or strata runs on a member register, a waitlist, a stack of work orders and an AGM that has to be done right. Most of it lives in spreadsheets, an old database and a binder in the office. We build the system your staff and board actually use, so the next audit, the next vacancy and the next vote start from records you trust.

// what you are up against

The problems we hear most.

01

A waitlist nobody can explain

Applicants call to ask where they are on the list, and the answer depends on a spreadsheet, a few emails and the memory of whoever kept it last.

02

Subsidies worked out by hand

Housing charges geared to income are recalculated every year from paper forms, and one wrong figure means a correction letter and an unhappy member.

03

Work orders on sticky notes

Repairs are reported by phone, passed to a maintenance person by text and closed with no record, so nobody can see what a unit has had done.

04

AGMs that run on paper

Notices, proxies, quorum and ballots are counted by volunteers in a hall, and a close vote invites a dispute nobody can settle from the records.

Co-op member and unit register

Hypothetical. Not a client, not a result.

// The problem

A housing co-op keeps its members, units, housing charges and subsidies in spreadsheets, posts charges to its books by hand, and finds board documents in a shared drive nobody can search.

// What we would build

One web system for the co-op office and its members: the member and unit register, housing charges with subsidies applied, pre-authorised debit and card payments, meeting notices and minutes, and board documents with access by role. Charges and payments post to QuickBooks Online through its API. Subsidy rules come from your operating agreement and your funder; we build to them.

// What is in it

  • Members, households and units in one register, with move-in and move-out dates
  • Monthly housing charges with each member's subsidy applied and explained
  • Payments by pre-authorised debit or card, matched to the unit
  • Board and committee documents, with access set by role
  • Meeting notices, agendas and minutes sent to members
  • Charges and payments posted to QuickBooks Online

Waitlist off the old database

Hypothetical. Not a client, not a result.

// The problem

A nonprofit housing provider runs its waitlist, offers and annual income reviews in a Microsoft Access database built years ago by a volunteer who has since left, and only one staff member knows how to run it.

// What we would build

We start with a short review of the old database, the forms behind it and how your staff really use it, and write down what to keep and what to drop. Then we rebuild it as a web system, move every applicant and household across with a check against the old totals, and retire the Access file. Applicants can see their status online in English and French. Priority rules are the ones your board and funder set.

// What is in it

  • A written review of the old database before any rebuild starts
  • Applicants, households and priority categories moved across and reconciled
  • Offers, refusals and move-ins recorded against each unit
  • Annual income reviews with reminders and document uploads
  • Applicants check their own status online, in English and French
  • Reports for your funder from the same records

Work orders and unit inspections

Hypothetical. Not a client, not a result.

// The problem

Maintenance staff get repair requests by phone and text, inspect units at move-in and move-out on paper, and nobody can see a unit's history when a dispute about damage comes up.

// What we would build

An app for maintenance staff on iPhone and Android, and a web portal for residents and the office. Residents report a repair with photos, the office assigns it, and staff close it with notes and parts used. Move-in and move-out inspections are done room by room on the phone with photos, signed by the resident, and kept against the unit.

// What is in it

  • Repair requests from residents with photos and the unit attached
  • Work orders assigned, tracked and closed with notes and parts
  • Room-by-room move-in and move-out inspections with photos
  • Inspections signed on the phone by the resident
  • Each unit's full repair and inspection history in one place

AGM votes with a verifiable tally

Hypothetical. Not a client, not a result.

// The problem

A strata corporation's AGM votes are counted by volunteers from paper ballots and proxies, and when a special resolution passes by a few votes, owners ask how they can be sure it was counted right.

// What we would build

Online notices, registration, proxies and secret ballots, with each ballot's fingerprint and the final tally recorded on a small private ledger run by the corporation and its property manager, so each owner can check their vote was counted without showing how they voted. A well-run online voting service with an audit log often does this job; the ledger helps when a contested vote needs a record neither the board nor the vendor can change. Your bylaws and the governing act set the rules; your board confirms them.

// What is in it

  • Notices, agendas and documents sent to every owner or member
  • Registration, proxies and quorum counted as people arrive
  • Secret ballots online or in the room on a tablet
  • Each ballot fingerprinted on a private ledger with a node for corporation and manager
  • Owners check their own vote was counted, without revealing it
  • Results and minutes published to members after the meeting

Resident help centre in several languages

Hypothetical. Not a client, not a result.

// The problem

A social housing provider's residents speak a dozen languages, the office phone rings all day with the same questions about rent, repairs and rules, and the written guides exist only in English.

// What we would build

A help centre with articles on rent, repairs, rules, moving and community programs, in the languages your residents speak, and an assistant that answers from those articles and hands over to staff with the conversation attached. We use a frontier model through its API, because the traffic is modest and the articles are public; resident details stay out of what the model sees.

// What is in it

  • Help articles on rent, repairs, rules and moving, written in plain language
  • Articles in English, French and the other languages your residents use
  • An assistant that answers only from the articles and says when it does not know
  • Hand-over to staff with the conversation attached
  • Repair requests opened from the chat into your work order system
  • A review queue so staff see unanswered questions and add articles

Portfolio and reserve fund dashboard

Hypothetical. Not a client, not a result.

// The problem

A housing society with many buildings has vacancies in its property system, work orders in another, arrears in its accounting software and reserve fund component data in a consultant's spreadsheet, and the board sees none of it together.

// What we would build

A dashboard for the board and senior staff that pulls vacancy, arrears, work orders and reserve fund component data into one small warehouse every night, with the building, the trend and the source behind every figure. We run it on managed cloud hosting with monitoring and backups. The reserve fund figures are your consultant's; we present them, we do not certify them.

// What is in it

  • Vacancy, turnover and days to re-let by building
  • Arrears and collections from your accounting system
  • Open and overdue work orders by building and trade
  • Reserve fund components with their remaining life, as your consultant recorded them
  • A nightly load into one warehouse, with the source of every figure

// questions

What buyers in this industry ask us.

Do you work with housing providers across Canada?

Yes. We are in British Columbia and work with housing co-ops, nonprofit housing providers and strata corporations anywhere; we set our working hours around yours. Prices are in Canadian dollars.

Do you give legal advice on bylaws or tenancy?

No. We scope and build to the rules your board, funder and advisers set.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the software?

You do, once the work is paid for, including the data, the integrations and the documentation.

// where we work

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
