Trucking system rescue

Old settlement and shop databases, replaced with care.

Many carriers still run settlements or maintenance on an Access database or a workbook full of macros that one person understands. We review it first and write up what it really does, then replace it without stopping the weekly pay run.

// what matters here

What is different in this industry.

01

A review before a rebuild

Senior engineers read the old system and tell you plainly what it does, what is risky and what it would take.

02

History that adds up

Past settlements are moved across and checked against the statements owner-operators already received.

03

Run side by side

The new system runs beside the old one for a few cycles until the numbers match.

04

No single point of failure

Documented code and a system your office can learn, not one person's memory.

Owner-operator settlements

Hypothetical. Not a client, not a result.

// The problem

A carrier settles its owner-operators from an Access database a former employee built, and every fuel advance, deduction and escrow question waits for the one person who knows it.

// What we would build

We start with an architecture review of the old database and write up what it really does, so you decide with the facts. Then a web system replaces it: loads, rates, fuel advances, deductions and escrow, weekly statements in an owner-operator portal, and settlements posted to QuickBooks Online through its API.

// What is in it

  • A written review of the old system before anything is rebuilt
  • Loads, rates, advances, deductions and escrow in one ledger per owner-operator
  • Weekly statements in a portal, with every line explained
  • Settlements posted to QuickBooks Online, both ways
  • History moved from the old database and checked against past statements

// Stack

  • Next.js
  • PostgreSQL
  • QuickBooks Online API
  • DigitalOcean Toronto

// questions

Questions we get about this.

Do we have to stop settlements while the old database is replaced?

No. The new system runs beside the old one until a few weekly runs match, then you switch.

The person who built our system has left. Can you still read it?

Usually, yes. Reading an old Access or macro system is the first part of the review.

What if the review says a rebuild is not worth it?

Then we say so. Sometimes a smaller fix to the old system is the better answer.
