Utility billing rescue

Off the old billing system, without missing a bill run.

Many small utilities bill from a system built years ago in Access, FoxPro or a spreadsheet full of macros, and only one person knows how it works. We start with an architecture review and a written plan, then move you off it with the history intact and bill runs checked against the old system.

// what matters here

What is different in this industry.

01

A review first

We read the old system and write down what it does, including the rules nobody remembers, before any code changes.

02

History kept

Every account, meter, rate and past bill is moved and reconciled, so a customer's question about last year still has an answer.

03

Parallel bill runs

The new system runs beside the old one until the totals match, so the switch is a decision, not a leap.

04

Rates you can change

Rate tables have effective dates and your staff change them, with no developer needed.

Billing system rescue

Hypothetical. Not a client, not a result.

// The problem

A regional water board bills from an Access database with macros written by a former employee, meter readers key reads from paper, and a change to the rate table means a week of testing on a copy of the file.

// What we would build

An architecture review of the old system first, with a written plan, then a new billing system that keeps every account, rate and history, an Android app meter readers use offline on their route, and bill runs checked against the old system before the switch. Ledger postings go to QuickBooks Online, built on its API.

// What is in it

  • An architecture review and a written plan before any code changes
  • Accounts, meters, rates and years of history moved and reconciled
  • Rate tables your staff change themselves, with an effective date
  • Meter reads on an Android app, offline on the route, with photos for odd reads
  • Parallel bill runs against the old system until the totals match
  • Daily postings to QuickBooks Online

// Stack

  • Next.js
  • Kotlin for Android
  • PostgreSQL
  • QuickBooks Online API
  • AWS Canada

// questions

Questions we get about this.

Can you take over a billing system a vendor abandoned?

Often, yes. We review what is there first and tell you whether to keep it, fix it or replace it, with the reasons.

Will customers notice the switch?

They should see the same account numbers and history. We plan the switch for between bill runs.

Do you review our architecture without a build?

The review is the first part of a rescue or rebuild, priced with it. It gives you a written plan either way.
