Arts software

Tickets, grants and volunteers, built for a small team.

Arts organisations run lean. The same few people sell tickets, chase renewals, write grant reports and fill volunteer shifts. We build software that takes the repeat work off them, with plain screens, clear roles and records that add up the first time.

// what matters here

What is different in this industry.

01

One patron, one record

Tickets, memberships and gifts belong to one patron account, so your team sees the whole relationship.

02

Into your books

Sales and donations posted to QuickBooks Online by show and fund, traceable back to each order.

03

Juries without the binders

Applications, scoring and conflict declarations in one workspace, with the rules your programme staff set.

04

Volunteers on their own phones

Rotas, reminders and swaps in a browser or a Telegram bot, with no app to install.

// example projects

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Tickets and memberships

Hypothetical. Not a client, not a result.

// The problem

A theatre sells tickets through one service, memberships through another and takes donations on paper, and its finance person reconciles the three by hand every month.

// What we would build

Ticketing for performances and timed entry, memberships with renewals and member pricing, and donations at checkout, all paid by card through Stripe, with sales posted to QuickBooks Online, built on its API. Patrons keep one account for tickets, membership and gifts.

// What is in it

  • Seat maps for performances and timed slots for exhibitions
  • Memberships with renewals, reminders and member prices
  • Donations added at checkout, with receipts in the format your treasurer approves
  • One patron account for tickets, membership and gifts
  • Sales by show and fund posted to QuickBooks Online
  • Door scanning in a phone's browser, with no app to install

Grant portal for an arts council

Hypothetical. Not a client, not a result.

// The problem

A municipal arts council takes grant applications by email, assembles jury packages by hand, and rebuilds the figures for its annual report from spreadsheets.

// What we would build

An application portal where artists and organisations apply, save and return, a jury workspace with scoring and conflict declarations, award letters and final reports, and a dashboard of applications, awards and outcomes by programme. The rules and criteria are the ones your council sets.

// What is in it

  • Applications with uploads, saved and returned to at any time
  • Eligibility checks set by your programme staff
  • A jury workspace with scoring and conflicts of interest declared
  • Award letters, payment schedules and final reports from grantees
  • A dashboard of applications and awards by programme and year
  • Exports in the format your board and funders ask for

Festival volunteer rotas

Hypothetical. Not a client, not a result.

// The problem

A summer festival recruits hundreds of volunteers across several venues each year, fills shifts from a shared spreadsheet and sends every change by group text.

// What we would build

Volunteer sign-up with roles and availability, shift rotas by venue that coordinators build and change, and a Telegram bot that sends reminders, takes check-ins and lets volunteers swap shifts, in the languages your volunteers speak.

// What is in it

  • Sign-up with roles, availability and training recorded
  • Rotas by venue and day, built and changed by coordinators
  • A Telegram bot for reminders, check-ins and swaps
  • Coordinators told of every swap and gap
  • Hours by volunteer for thank-yous and funder reports

// questions

Questions we get about this.

Can it replace the ticketing service our theatre uses now?

Often, yes. We look at what your current service does for you first, and move your patrons and memberships across when you are ready.

Can grant applicants save and come back to an application?

Yes. Applicants save as they go and return any time before the deadline your programme sets.

Do festival volunteers need to install anything?

No. Sign-up works in a browser, and reminders and swaps come through a Telegram bot they may already use.

Not quite your project?

Tell us what you have in mind. We will come back to you with a range and the questions that would narrow it. Or book a call and talk it through.
