Culture software

Your collection, your visitors and your funders, in order.

Your collection lives in a database one registrar understands, tickets and memberships sit in a tool that never meets the books, and every funder report starts from a blank spreadsheet. We build the systems behind the galleries and the stage: records that last, pages everyone can use, and less admin for a small team.

// what you are up against

The problems we hear most.

01

A collection in an old database

Object records sit in a FileMaker or Access file built years ago, on one computer, and only the registrar knows how it works.

02

Collections the public cannot see

Most objects are in storage, and the few online are in a viewer that screen readers and phones struggle with.

03

Tickets apart from the books

Ticket sales, memberships and donations come from different tools, and someone rebuilds the totals by hand each month.

04

A report for every funder

Arts councils and foundations each ask for attendance and programme figures in their own format, gathered by hand.

// example projects

Systems we could build for you.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Collections database rescue

Hypothetical. Not a client, not a result.

// The problem

A regional museum keeps its object records, images and loans in a FileMaker file built two decades ago, on one office computer, with no backup and one registrar who knows how it works.

// What we would build

We start with a short architecture review of the old file and how your registrar uses it, then move every record, image and loan into a web collections system with roles, a change log and nightly backups. Every moved record is counted and checked with your registrar, and the old file stays read-only until you retire it.

// What is in it

  • A written review of the old database and a plan, before anything moves
  • Every object, image, location and loan moved and counted
  • Object records, locations and movements in one web system
  • Roles for registrars, curators and volunteers, with a change log
  • Nightly backups in Canada, tested by restoring them
  • The old file kept read-only until you retire it

// Stack

  • Next.js
  • PostgreSQL
  • FileMaker and Access import
  • Object storage for images

Accessible online collection

Hypothetical. Not a client, not a result.

// The problem

A gallery has thousands of works catalogued but almost none online, and its old collection viewer fails on phones and with screen readers.

// What we would build

A public online collection designed with your team and tested with real visitors, including people who use screen readers and keyboards, with search by artist, period, place and theme, published from your collections system so records are kept in one place. Image rights and credit lines show on every work.

// What is in it

  • User research and a clickable prototype, tested with visitors
  • Search and browse by artist, period, place, medium and theme
  • Pages built to WCAG 2.2 AA, checked with screen readers and keyboards
  • Records published from your collections system, never typed twice
  • Image rights and credit lines shown with every work

Tickets and memberships

Hypothetical. Not a client, not a result.

// The problem

A theatre sells tickets through one service, memberships through another and takes donations on paper, and its finance person reconciles the three by hand every month.

// What we would build

Ticketing for performances and timed entry, memberships with renewals and member pricing, and donations at checkout, all paid by card through Stripe, with sales posted to QuickBooks Online, built on its API. Patrons keep one account for tickets, membership and gifts.

// What is in it

  • Seat maps for performances and timed slots for exhibitions
  • Memberships with renewals, reminders and member prices
  • Donations added at checkout, with receipts in the format your treasurer approves
  • One patron account for tickets, membership and gifts
  • Sales by show and fund posted to QuickBooks Online

Multilingual visitor guide

Hypothetical. Not a client, not a result.

// The problem

A heritage site prints its visitor guide in two languages, tours in other languages need a guide on staff, and the front desk answers the same questions about hours, access and parking all day.

// What we would build

A visitor guide in a phone's browser, opened from a code at each stop, in the languages your visitors speak, with an assistant that answers from your own texts, names its source and hands anything it cannot answer to staff. Your interpretation team writes and approves every text.

// What is in it

  • Stops opened from a code on the wall, with text, images and audio
  • The guide in the languages you choose, approved by your team
  • An assistant that answers from your own texts and names its source
  • Hours, access, parking and accessibility answered the same way every time

Shared provenance record

Hypothetical. Not a client, not a result.

// The problem

Several museums lend and borrow works between them, and each keeps its own copy of the provenance research, condition reports and loan agreements, which drift apart over the years.

// What we would build

A shared web app where each institution records provenance research and loan documents, with a fingerprint of each document written to a private permissioned ledger that every member runs a node of. A signed PDF often does this job; the ledger helps when several institutions want one record that none of them holds alone.

// What is in it

  • Provenance research and loan documents recorded by each institution
  • A fingerprint of each document written to a private ledger
  • A node per member, so no single institution holds the record
  • A plain history of each work any member can download
  • Documents themselves kept private to the members who share them

// questions

What buyers in this industry ask us.

Do you work with small museums and volunteer-run festivals?

Yes. Many projects start with one part, such as the collection or ticketing, and add the rest when funding allows. The estimator shows what each part costs.

Where are you, and who do you work with?

We are in British Columbia and work with museums, galleries, theatres and festivals anywhere; we set our working hours around yours. Prices are in Canadian dollars.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the software and the collection data?

You do, once the work is paid for, including every record, image and text.

// where we work
