Clinic booking apps

Fewer phone calls, fuller chairs and tables.

Your front desk answers the phone all day, intake forms are filled in on clipboards, and recalls slip when the clinic is busy. We build the booking, portals and front desk tools that free your team for the patients and pets in front of them, connected to the practice management system you already use.

// what you are up against

The problems we hear most.

01

A phone that never stops

Bookings, changes, reminders and directions all come in by phone, and the front desk is on a call when the next patient arrives.

02

Forms on a clipboard

Intake and history forms are filled in by hand in the waiting room and typed into the system afterwards.

03

Recalls that slip

Cleanings, check-ups and vaccinations fall due quietly, and a busy month means many reminders are never sent.

04

Every clinic its own way

A group of clinics reports bookings, no-shows and production differently, so the owners cannot compare them fairly.

// example projects

Systems we could build for you.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Online booking and recalls

Hypothetical. Not a client, not a result.

// The problem

A group of dental practices books almost every appointment by phone, sends recalls by postcard when someone remembers, and loses hours each week to no-shows.

// What we would build

Online booking on the website and an iOS and Android app, with appointment types and rules set by each clinic, reminders and recalls sent on time, and every booking written to the practice management system.

// What is in it

  • Booking online for the appointment types each clinic allows
  • Reminders by text and email, with easy rescheduling
  • Recalls for cleanings, check-ups or vaccinations when they fall due
  • Deposits for long appointments where the clinic wants them
  • Every screen in the languages your patients speak
  • Connected to your practice management system

Client portal with forms

Hypothetical. Not a client, not a result.

// The problem

A veterinary clinic's clients fill in history forms on paper, call for invoices and vaccination certificates, and ask staff to email records to other clinics.

// What we would build

A secure portal for clients and pet owners: forms completed before the visit, invoices and payments, and the records and certificates the clinic chooses to share, all connected to the practice management system.

// What is in it

  • Intake and history forms completed before the visit
  • Invoices and online payment
  • Certificates and records the clinic chooses to share
  • Requests for refills or records sent to the right person
  • Access limited, logged and set by the clinic

Front desk assistant

Hypothetical. Not a client, not a result.

// The problem

A busy veterinary hospital's front desk answers the same questions about hours, prices, preparation and directions by phone and chat, while clinical questions wait in the same queue.

// What we would build

An assistant on the website and chat that answers from the clinic's own information, books and moves appointments through the practice system, and passes every clinical question to the team without giving advice. It runs on an open-source model in the clinic's own cloud account, so client and patient details never reach an outside model provider.

// What is in it

  • Answers from your hours, prices and preparation instructions
  • Bookings and changes through your practice system
  • Every clinical question passed to your team
  • Replies in the client's language
  • Runs in your own cloud account

Clinic group dashboard

Hypothetical. Not a client, not a result.

// The problem

The owners of six dental clinics see bookings, no-shows and production in six reports that each count things differently.

// What we would build

A dashboard that reads each clinic's practice system into one model, so the owners see bookings, chair use, no-shows, recalls and production by clinic and provider, measured the same way everywhere.

// What is in it

  • Bookings, chair use and no-shows by clinic
  • Recalls due, sent and booked
  • Production by clinic and provider
  • Clinics compared on the same terms
  • Exports for the accountant and owners

Practice systems hub

Hypothetical. Not a client, not a result.

// The problem

A veterinary group copies payments from the terminal into the practice system, invoices into accounting and lab orders by hand, at every clinic, every day.

// What we would build

An integration hub between the practice management system, payments, the lab and accounting, so a payment, an invoice or a lab result is entered once and reaches the other systems, with a log of every message.

// What is in it

  • Payments matched to invoices in the practice system
  • Invoices and sales posted to accounting
  • Lab orders sent and results returned to the right record
  • A log of every message, with alerts
  • Documented, so the next system is easy to add

Shared pet vaccination records

Hypothetical. Not a client, not a result.

// The problem

Boarding kennels, groomers and other clinics ask pet owners for proof of vaccination, owners hunt for paper certificates, and nobody can tell if a certificate is genuine.

// What we would build

Vaccination records issued by member clinics onto a private permissioned ledger the clinics run together, so a kennel or another clinic can check a pet's certificate with the owner's permission, and no clinic can alter another's record. If a single clinic group issues all the certificates and others trust it, a database with a check page is simpler, and we will say so.

// What is in it

  • Certificates issued from each clinic's practice system
  • Checked by kennels and clinics with the owner's permission
  • No clinic can alter another clinic's record
  • Owners see their pets' certificates in the portal
  • Only the certificate is shared, never the full record

// questions

What buyers in this industry ask us.

Do you work with single practices and clinics?

Yes. Online booking or a client portal suits a single clinic, and the estimator shows the range for your scope.

Does the software give clinical advice?

No. It handles bookings, forms, records and routine questions. Clinical questions always go to your team.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the code?

You do, once the work is paid for.

// where we work

Find your market.

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
