Research software

Less admin between your researchers and their work.

Research runs on shared instruments, grant budgets, ethics approvals and safety training, and most of it is still held together by spreadsheets, email and one patient administrator. We build the systems that take that weight off: booking and billing, budgets, workflows and dashboards, built to the rules your research office, ethics board and safety office already set.

// what you are up against

The problems we hear most.

01

Instruments booked on a paper sheet

Shared microscopes and sequencers are booked on a sheet by the door, and the monthly recharge invoices are built by hand.

02

Grant budgets in a macro workbook

Each grant is tracked in an Excel file full of macros that one person understands, and researchers learn they are overspent too late.

03

Ethics applications by email

Applications, revisions and reviewer comments travel as Word files, and nobody can say where an application stands.

04

Cluster and cloud bills nobody can split

HPC hours and cloud spend arrive as one bill, and no group or grant knows its own share.

// example projects

Systems we could build for you.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Shared equipment booking and billing

Hypothetical. Not a client, not a result.

// The problem

A university's core facilities book microscopes, sequencers and cytometers on paper sheets and shared calendars, and the facility manager spends days each month building recharge invoices by hand.

// What we would build

A booking system where researchers sign in with their university account, book only the instruments they are trained on, and are billed by the hour to the right grant account, with recharges posted to your finance system and outside users paying by card.

// What is in it

  • Instruments, rooms and staff time booked on one calendar, by facility
  • Sign-in with your university accounts
  • Bookings allowed only for people trained on that instrument
  • Usage billed to grant accounts at internal and external rates
  • Monthly recharges posted to your finance system
  • Card payment for outside users, and usage reports for each facility

Grant budget tracker, rescued from macros

Hypothetical. Not a client, not a result.

// The problem

A research office tracks every grant in an Excel workbook full of macros written by someone who retired, and principal investigators find out they are overspent when the finance office refuses a purchase.

// What we would build

We move every grant, budget line and commitment out of the old workbook, check it with your research finance team, and rebuild it as a web app fed from your finance system each night, so each investigator sees their own grants, spend and commitments, and the office sees them all.

// What is in it

  • Every grant and budget line moved out of the old workbook, and checked with you
  • Actuals from your finance system each night
  • Commitments, salaries and planned spend by grant
  • A view for each investigator of their own grants only
  • Alerts before a budget line runs out, and before a grant ends
  • Reports in the formats your funders and finance office ask for

Ethics application workflow

Hypothetical. Not a client, not a result.

// The problem

A university's research ethics office receives applications as Word files by email, tracks them in an old FileMaker database, and spends hours each week telling applicants where their file stands.

// What we would build

Workflow software for ethics applications: online forms built from your board's own templates, routing to reviewers, versions and comments kept together, and a status page applicants can check. An assistant on an open-source model, served for you in Canada, checks an application against your board's own checklist for missing sections. It never gives ethics advice; decisions stay with your board.

// What is in it

  • Online application forms built from your board's templates
  • Routing to reviewers, with versions and comments kept together
  • A status page for applicants and reminders for reviewers
  • A completeness check against your board's own checklist, on a private model
  • Records moved out of the old FileMaker database
  • Access by role, with every view and change logged

Research data management hub

Hypothetical. Not a client, not a result.

// The problem

A university's research data team asks every project for a data management plan, then has no way to see where the data actually lives, who owns it, or when it may be deleted.

// What we would build

An internal hub that joins your storage, institutional repository, ORCID, grants system and HPC accounts through their published APIs, so every dataset has an owner, a project, a storage location and a retention date, and deposits to the repository start from the same record. We check each system's API before we quote.

// What is in it

  • Connectors for storage, the repository, ORCID, the grants system and HPC accounts
  • One record per dataset, with owner, project, location and retention date
  • Reminders to owners before retention dates and when people leave
  • Repository deposits started from the same record
  • A Python client so research software engineers can use it from their own scripts

HPC and cloud cost dashboards

Hypothetical. Not a client, not a result.

// The problem

A research institute pays for cluster time and three cloud accounts out of one budget, and no lab or grant can see what its own work costs until the year-end bill arrives.

// What we would build

Dashboards that read your HPC scheduler's accounting and your cloud providers' billing exports, tag every job and resource to a group and a grant, and show each lab its spend against budget. We host and look after it, with alerts when a group's spend jumps.

// What is in it

  • Job accounting from your HPC scheduler, by group and grant
  • Billing exports from AWS, Azure and Google Cloud
  • Spend against budget for each lab and grant
  • Alerts when a group's spend jumps or idle resources run
  • Monthly chargeback figures for your finance office

Research group websites in several languages

Hypothetical. Not a client, not a result.

// The problem

A research institute's groups each built their own website years ago, half of them are out of date, and prospective students and partners abroad cannot read them in their own language.

// What we would build

A designed set of research group websites on one platform, each group editing its own people, projects and publications, in the languages you choose, with an assistant that answers visitors from the sites' own pages and hands anything about admissions or partnerships to a person.

// What is in it

  • A design for the institute and a template each group can make its own
  • People, projects and publications edited by each group
  • Publications pulled from ORCID, so lists stay current

Shared record of lab safety training

Hypothetical. Not a client, not a result.

// The problem

Researchers move between three universities' labs and shared facilities, and each institution keeps its own spreadsheet of safety training, so people repeat courses or work in labs their training does not cover.

// What we would build

A training records app for each institution, with expiry reminders and checks at booking, and each completed course written to a private permissioned ledger that every institution runs a node of, so a partner can confirm someone's training without asking for a spreadsheet. A shared database run by one institution often does this job; the ledger helps when no single institution should hold the record.

// What is in it

  • Training records, expiry dates and reminders for each person
  • Completions written to a private ledger with a node per institution
  • Partners confirm training without seeing anyone's full record
  • Checks at equipment booking, so only trained people book
  • A plain read-out any institution can download

// by service

Go deeper on one kind of work.

Pages for the services we have the most to say about in this industry.

// questions

What buyers in this industry ask us.

Do you give ethics, safety or legal advice?

No. We build software to the rules your ethics board, safety office and advisers set. Decisions stay with them.

Where are you, and who do you work with?

We are in British Columbia and work with universities, institutes and research labs anywhere; we set our working hours around yours. Prices are in Canadian dollars.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Can you work with our IT department's procurement and security review?

Yes. We answer security questionnaires, document how the system is hosted and accessed, and plan the review into the timeline.

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
