Childcare apps

Calmer drop-offs, happier parents.

Your waitlist lives in a spreadsheet, sign-in happens on a clipboard by the door, and parents want to know how the day went. We build the parent apps, enrolment portals and staff tools that give educators more time with the children, with children's information kept private and in your hands.

// what you are up against

The problems we hear most.

01

A waitlist in a spreadsheet

Families join a waitlist by email and phone, and nobody can say where a child stands or when a space opens.

02

Sign-in on a clipboard

Arrivals and departures are written on paper by the door, and room ratios are counted by hand through the day.

03

Parents left wondering

Parents want to know about meals, naps and the day, and educators write notes after the children go home.

04

Fees and subsidy paperwork

Fees, subsidies and attendance reports are rebuilt each month from sign-in sheets and spreadsheets.

// example projects

Systems we could build for you.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Parent app with daily updates

Hypothetical. Not a client, not a result.

// The problem

A group of childcare centres sends updates by paper notes and email, parents call to ask about naps and meals, and fees are paid by cheque and e-transfer with no record in one place.

// What we would build

An iOS and Android app for parents and a matching app for educators: daily updates and photos with parents' consent, secure messages with the room, sign-in and sign-out, and fees and statements in one place.

// What is in it

  • Daily updates on meals, naps and activities
  • Photos shared only with each child's own family, with consent
  • Secure messages between parents and educators
  • Sign-in and sign-out with the authorised pick-up list
  • Fees, statements and tax receipts in the app
  • Every screen in the languages your families speak

Waitlist and enrolment portal

Hypothetical. Not a client, not a result.

// The problem

A nonprofit with four centres keeps its waitlist in a spreadsheet, families call every month to ask where they stand, and enrolment paperwork is filled in on paper.

// What we would build

A portal designed for busy parents: join the waitlist for one or more centres, see where you stand, accept a space when it opens, and complete enrolment forms online, with a priority list the director manages.

// What is in it

  • One waitlist form for every centre
  • Families see their place and update their dates
  • Spaces offered by the director, accepted online
  • Enrolment forms and documents completed online
  • Pages designed for parents on a phone

Staff attendance and ratio app

Hypothetical. Not a client, not a result.

// The problem

Educators count children and staff in each room by hand through the day, and the director only knows a room was over ratio when someone writes it down.

// What we would build

An Android tablet app in each room and a web view for the director: children and educators signed in and out, live counts for each room against the ratios you set, and an alert when a room is close to its limit.

// What is in it

  • Children and educators signed in and out on a room tablet
  • Live counts for every room
  • Alerts when a room nears the ratio you set
  • A record of each day's counts for your files
  • Works through short network drops

Multi-centre dashboard

Hypothetical. Not a client, not a result.

// The problem

The director of a group of centres sees enrolment, attendance, fees and staffing in separate spreadsheets, each kept a little differently by each centre.

// What we would build

A dashboard that reads enrolment, attendance, fees and staff hours into one model, so the director sees occupancy, waitlist length, fees owed and staff hours by centre and room, measured the same way everywhere.

// What is in it

  • Occupancy and waitlist by centre and age group
  • Attendance against enrolment

  • Staff hours against children in care
  • Exports for the board and funders

Fees, payroll and accounting hub

Hypothetical. Not a client, not a result.

// The problem

A childcare centre's office copies fees into accounting, staff hours into payroll and subsidy amounts into statements, by hand, every month.

// What we would build

An integration hub between the childcare app, payroll and accounting, so fees, payments, subsidy amounts and staff hours reach the right system once, with a log of every message.

// What is in it

  • Fees and payments posted to accounting
  • Staff hours sent to payroll
  • Subsidy amounts shown on family statements
  • A log of every message, with alerts

Attendance records shared with a funder

Hypothetical. Not a client, not a result.

// The problem

Centres receiving public childcare funding send monthly attendance reports to the funder, and every audit means matching sign-in sheets, spreadsheets and claims line by line.

// What we would build

Each day's attendance totals recorded on a private permissioned ledger the centres and the funder run nodes of, so subsidy claims are checked against one record nobody can rewrite. Most centres are better served by a database and a good report, and we will say so; the ledger earns its cost only when several operators and a funder want a record none of them controls.

// What is in it

  • Daily attendance totals recorded from sign-in
  • Claims checked against the same record
  • No party can change past attendance alone
  • Only totals are shared, never children's details
  • Reports in the format your funder asks for

Parent handbook assistant

Hypothetical. Not a client, not a result.

// The problem

A childcare centre's director answers the same questions about hours, closures, illness policy and what to pack, by email, in several languages, often in the evening.

// What we would build

A help centre written from the centre's own handbook and policies, and an assistant that answers parents from it in their language and passes anything about a particular child to staff. It uses a frontier model through its API: the handbook is not private and traffic is low.

// What is in it

  • Answers from your own handbook and policies
  • Replies in the parent's language
  • Anything about a particular child passed to staff
  • No children's details in the conversation

// questions

What buyers in this industry ask us.

Do you work with single childcare centres?

Yes. A parent app or a waitlist portal suits a single centre, and the estimator shows the range for your scope.

Is children's information ever public?

No. Nothing about a child is public, and access is limited, logged and set by the centre.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the code?

You do, once the work is paid for.

// where we work

Find your market.

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
