Production software

Less paperwork between the work and the release.

The work happens on set, in the studio and on the page. Around it sit call sheets in email, start forms on paper, drives of dailies nobody can find, and royalty statements built in a workbook every period. We build the systems behind the production office and the back office, so your team spends its time on the work.

// what you are up against

The problems we hear most.

01

Call sheets by email

Schedules change daily, call sheets go out as attachments, and crew show up with yesterday's version.

02

Start paperwork on paper

Deal memos, tax forms and banking details arrive as photos and scans, and someone types them into payroll by hand.

03

Statements built by hand

Distributor and retailer reports arrive in a dozen formats, and royalty statements for artists and authors take weeks each period.

04

Metadata that drifts

Titles, credits and codes differ between the catalogue, the distributors and the stores, and corrections never reach everyone.

Production office and call sheets

Hypothetical. Not a client, not a result.

// The problem

A film and TV production company runs schedules in spreadsheets, sends call sheets as email attachments, and collects crew start paperwork on paper for every show.

// What we would build

A production office app for web, iOS and Android: schedules by day and unit, call sheets published to the crew's phones with changes flagged, and crew onboarding with deal memos, forms and documents collected online and exported to your payroll service. Pay and banking details are seen only by the roles you choose.

// What is in it

  • Shooting schedules by day, unit and location
  • Call sheets on the crew's phones, with every change flagged
  • Crew onboarding with deal memos, forms and documents collected online
  • Pay and banking details visible only to production accounting
  • Exports to your payroll service in the format it accepts
  • Each show kept separate, with crew carried from one to the next

Dailies and asset tracking

Hypothetical. Not a client, not a result.

// The problem

A post-production studio tracks dailies, drives and deliverables in a spreadsheet, and finding which drive holds a take, or who has seen the latest cut, means asking around.

// What we would build

A tracker for camera cards, drives, dailies and deliverables, with proxies viewable in the browser for the people allowed to see them, on cloud storage we set up and run for you in Canada, with monitoring, backups and access logs.

// What is in it

Royalty statements for artists and authors

Hypothetical. Not a client, not a result.

// The problem

An independent label and publisher calculates royalties in an old Access database and a workbook, from distributor and retailer reports in a dozen formats, and each statement period takes weeks.

// What we would build

We move contracts, rates and history out of the old database, then build a system that imports each distributor's and retailer's report, applies the terms in your contracts as your royalty team reads them, and produces statements artists and authors see in their own portal, with payments and liabilities posted to QuickBooks Online both ways.

// What is in it

  • Contracts, rates, advances and history moved out of the old database
  • Reports from each distributor and retailer imported as they arrive
  • Terms applied as your royalty team sets them, with every step traceable
  • Statements in a portal for each artist and author
  • Payments and liabilities posted to QuickBooks Online, and payments read back
  • A dashboard of earnings by title, territory and channel

Manuscript and demo submissions

Hypothetical. Not a client, not a result.

// The problem

A book publisher takes manuscripts by email, readers keep notes in their own files, and writers wait months with no word on where their submission stands.

// What we would build

A submissions portal designed with your editors, where writers or artists submit to open calls, readers score and comment in one place, and every submitter sees the status of their work and gets an answer, in the words your editors choose.

// What is in it

  • Open calls with your own rules, deadlines and genres
  • Submissions with files, kept private to your readers and editors
  • Readers' scores and notes in one place, with second reads
  • A status every submitter can see, and replies from templates
  • A design that matches your imprint, tested with writers

Catalogue metadata and distribution feeds

Hypothetical. Not a client, not a result.

// The problem

A label's catalogue metadata lives in spreadsheets, and titles, credits, codes and release dates differ between what it sends to each distributor and what appears in the stores.

// What we would build

An integration hub that keeps one catalogue record and sends it to each distributor in the feed format they accept, such as DDEX for music or ONIX for books, with an open-source model that suggests fixes for missing credits, inconsistent names and mismatched codes for your team to approve.

// What is in it

  • One catalogue record for titles, credits, codes and dates
  • Feeds to each distributor in the format it accepts, such as DDEX or ONIX
  • Suggested fixes for credits, names and codes, approved by your team
  • Changes sent to every distributor at once, with a log of each delivery
  • A model run on servers you control, so the catalogue stays private

Cost-report data for tax credit claims

Hypothetical. Not a client, not a result.

// The problem

A production company prepares the data for its tax credit claims in a workbook full of macros one person built, pulling costs, crew residency and payroll by hand for each show.

// What we would build

We start with an architecture review of the old workbook, then build a system that brings in costs from your accounting and payroll exports, tags each cost and crew member the way your accountants set out, and produces the schedules they ask for. Your accountants and advisers prepare and file the claims; we give no tax advice.

// What is in it

  • A written review of the old workbook, before anything is replaced
  • Costs brought in from accounting and payroll exports
  • Costs and crew tagged by the categories your accountants set
  • Schedules in the formats your accountants ask for
  • Each figure traceable to its source line

Shared chain of title record

Hypothetical. Not a client, not a result.

// The problem

A film's financiers, distributors and the production company each hold their own copies of the option, rights and licence agreements behind the picture, and checking the chain of title means comparing folders.

// What we would build

A shared web app where each party records the agreements behind a title, with a fingerprint of each signed document written to a private permissioned ledger that every party runs a node of. A data room of signed PDFs often does this job; the ledger helps when several parties need one record that none of them holds alone.

// What is in it

  • Options, rights and licence agreements recorded by title
  • A fingerprint of each signed document written to a private ledger
  • A node for each party, so no one holds the record alone
  • A plain chain of title report any party can download
  • Documents themselves shared only with the parties that should see them

// questions

What buyers in this industry ask us.

Is this different from your media industry page?

Yes. Media covers audience products such as subscriber apps and archive search. This page covers the production and back office of studios, labels and publishers.

Where are you, and who do you work with?

We are in British Columbia and work with production companies, labels and publishers anywhere; we set our working hours around yours. Prices are in Canadian dollars.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the software and the catalogue data?

You do, once the work is paid for, including every record, statement and file.

// where we work

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
