Membership software

Your members, served without the paperwork.

An association runs on its register: who is a member, who has paid, who has the credits they need, and who may vote. We build the portals, ballots and case files that keep that register right, and the assistants that answer members from your own bylaws and agreements.

// what you are up against

The problems we hear most.

01

Renewal season by hand

Renewal notices, dues, receipts and lapsed members are chased each year from a spreadsheet and an inbox.

02

Credits nobody can total

Continuing education hours arrive as certificates by email, and members ask staff what they still need.

03

Votes on paper or in a form

Elections and ratification votes run on paper ballots or a general survey tool that was never built for them.

04

The same questions every day

Members ask staff and stewards what the bylaws or the agreement say, and the answers live in long PDFs.

// example projects

Systems we could build for you.

Each one is hypothetical, labelled as such, and priced live from our rate card. Open any of them in the estimator and make it yours.

Member portal with renewals

Hypothetical. Not a client, not a result.

// The problem

A professional association renews thousands of members each year from a spreadsheet, sends notices by mail merge, takes dues by cheque and card, and rekeys every payment into its books.

// What we would build

A member portal where members renew, pay dues by card and update their own details, with notices sent on a schedule, lapsed members followed up, and payments posted to QuickBooks Online, built on its API. Your staff see the whole register and every change made to it.

// What is in it

  • Members renew, pay dues and update their details online
  • Renewal notices and reminders sent on a schedule you set
  • Membership categories and fees set by staff, not by us
  • Payments and receipts posted to QuickBooks Online
  • The register searchable by staff, with every change logged

Continuing education credits

Hypothetical. Not a client, not a result.

// The problem

A licensed profession's association needs members to log continuing education hours each cycle, and staff check emailed certificates one by one and answer who is short.

// What we would build

A web and phone app where members log courses and upload certificates, events check attendees in by QR code and add the credits themselves, and each member sees what they still need for the cycle. Credit rules follow what your board or regulator sets, and staff review anything uploaded.

// What is in it

  • Courses logged and certificates uploaded by members
  • QR check-in at your own events, adding credits automatically
  • Each member's progress against the cycle's requirement
  • Staff review of uploaded certificates
  • Reports of members short of credits before the cycle ends

Elections and ratification votes

Hypothetical. Not a client, not a result.

// The problem

A union runs officer elections and contract ratification votes on paper at meetings and by mail, and members on night shifts and at remote sites struggle to take part.

// What we would build

Online ballots where each eligible member votes once from any device, with the voter list kept apart from the ballots so no vote can be traced to a member, a receipt for each voter, and results released by your returning officer. The rules follow your constitution and bylaws, as your officers and advisers read them.

// What is in it

  • Ballots for elections, ratifications and referendums
  • Eligibility taken from the register at a date you set
  • Voter list kept apart from the ballots, so votes stay secret
  • A receipt for each voter, and a full log for scrutineers
  • Results released by your returning officer, not the software

Assistant over bylaws and agreements

Hypothetical. Not a client, not a result.

// The problem

A union local's stewards and staff answer the same questions every day about overtime, leave and seniority, from a collective agreement and bylaws that run to hundreds of pages.

// What we would build

An assistant for members and stewards that answers from your own collective agreement, bylaws and policies, quotes the article it used, and sends anything about a member's own case to a steward. It runs on an open-source model on servers you control, explains what the documents say, and gives no legal advice.

// What is in it

  • Answers from your agreement, bylaws and policies only
  • The article and page quoted with every answer
  • Anything about a member's own case sent to a steward
  • Runs on servers you control, with no member questions sent outside
  • A set of real questions run before every change

Grievance case files, rebuilt

Hypothetical. Not a client, not a result.

// The problem

A union tracks grievances in an old Access database on one staff computer, with deadlines in a paper diary, and nobody is sure every step was filed in time.

// What we would build

We begin with a short review of the old database and how cases move through it. Then we move every case into a web app where each grievance has its steps, deadlines from your agreement, documents and notes, stewards see their own cases, and staff are warned before a deadline passes.

// What is in it

  • A review of the old database and a plain plan before we build
  • Every past case moved in and checked with your staff
  • Steps and deadlines set from your agreement, with warnings
  • Documents and notes kept with each case
  • Stewards see their own cases; staff see all of them

Bilingual chamber site and help

Hypothetical. Not a client, not a result.

// The problem

// What we would build

Credits record shared with providers

Hypothetical. Not a client, not a result.

// The problem

A national association accepts continuing education from dozens of approved course providers, each sending completions in its own format, and members' records never quite match the providers' lists.

// What we would build

A web app where approved providers record completions and the association approves them, with each completion written to a private permissioned ledger the association and its largest providers run nodes of. A shared database run by the association often does this job; the ledger helps when providers want a record no single party can alter.

// What is in it

  • Completions recorded by approved providers
  • Each completion written to a private ledger with several nodes
  • Members see every credit and where it came from
  • Providers see only their own completions
  • A plain export of any member's record for audits

// questions

What buyers in this industry ask us.

Do you work with unions as well as associations and chambers?

Yes, and with clubs and other membership organisations. The register, dues, votes and case files are much the same work.

Where are you, and who do you work with?

We are in British Columbia and work with associations, unions and chambers anywhere; we set our working hours around yours. Prices are in Canadian dollars.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the software and the member data?

You do, once the work is paid for. Member data is yours, and we handle it only as your instructions allow.

// where we work

Find your market.

We work from Kelowna with clients across Canada, the United States and further afield. Each market page covers working hours, hosting, the privacy law that applies, and prices in your currency.
