Franchise software

Every location on the same page, and the same playbook.

A franchise system lives or dies on doing the same thing well in every location. Your manual, your training, your royalties and your audits should work that way too. We build the systems head office and franchisees share, so a new location opens on the current playbook and royalty day is a report, not a chase.

// what you are up against

The problems we hear most.

01

A manual nobody reads

The operations manual is a long PDF on a shared drive, with old versions still printed in back offices, so each location follows its own copy.

02

Royalties from typed figures

Franchisees type their monthly sales into a form or a spreadsheet, and head office checks them against POS reports by hand before it can invoice.

03

Audits on clipboards

Field consultants score each visit on paper, type it up later, and the corrective actions they asked for are never followed up in one place.

04

Local ads by email

Franchisees email flyers and social posts for approval, the marketing team checks each one by eye against the brand guide, and the queue grows before every season.

Franchisee portal and app

Hypothetical. Not a client, not a result.

// The problem

A franchisor with locations across the country keeps its operations manual in a PDF, trains new franchisees by shadowing, and onboards each opening from a checklist in someone's inbox.

// What we would build

A portal and an iPhone and Android app for franchisees and their managers, designed around your brand from the first screen: the operations manual as searchable pages with versions and sign-off, short training courses with quizzes, an opening checklist for each new location, and announcements from head office. In English and French, for locations in Quebec. We design it with your brand team, not over the top of it.

// What is in it

  • The operations manual as searchable pages, with each change versioned and acknowledged
  • Training courses and quizzes for owners, managers and staff
  • An opening checklist for each new location, from lease to first day
  • Announcements and recalls from head office, read receipts included
  • Brand design across web and app, built with your brand team
  • English and French throughout

Royalty reporting from POS

Hypothetical. Not a client, not a result.

// The problem

A franchisor's locations run three different POS systems, franchisees type their monthly sales into a spreadsheet, and head office spends the first week of every month checking figures before it can invoice royalties and marketing fund contributions.

// What we would build

An integration service that reads daily sales from each POS through its published API, a calculation of royalties and marketing fund contributions to the terms in your franchise agreements, statements each franchisee can see and question, and invoices posted to QuickBooks Online. We check your POS vendors' APIs before we quote. Your agreements and your accountant set the rules; we give no legal or tax advice.

// What is in it

  • Daily sales read from each POS system through its API
  • Royalties and marketing fund contributions worked out to your agreement terms
  • Monthly statements franchisees can see, question and accept
  • Invoices and payments posted to QuickBooks Online
  • Alerts when a location's sales stop arriving
  • An internal API documented with OpenAPI, for the next system that needs the figures

Location audits on a tablet

Hypothetical. Not a client, not a result.

// The problem

Field consultants visit hundreds of locations with a paper checklist, type up scores at night, and the corrective actions they ask for are lost between visits.

// What we would build

An iPad app for field consultants that runs your brand standards audit item by item, with photos, scores and notes, even with no signal in the back of the store. Corrective actions go to the franchisee with a due date and come back with a photo when done, and head office sees scores by location, region and standard.

// What is in it

  • Your brand standards checklist on an iPad, item by item
  • Photos and notes on every item, saved offline
  • Scores worked out the way your audit program sets them
  • Corrective actions sent to the franchisee, closed with a photo

Local marketing pre-check

Hypothetical. Not a client, not a result.

// The problem

Franchisees send hundreds of local flyers, posters and social posts a season for approval, and the marketing team checks logos, colours, required wording and offers by eye.

// What we would build

A submission portal where a small model, fine-tuned on your own approved and rejected pieces, flags likely problems before a person looks: an old logo, a missing line of required wording, an offer outside the national promotion. A person on your marketing team still approves every piece. We use a custom fine-tuned model because the task is narrow, the examples are yours, and it runs privately at low cost per check.

// What is in it

  • Franchisees upload a flyer, poster or post with its run dates
  • A fine-tuned model flags logo, colour, wording and offer problems
  • Each flag shows the rule in your brand guide it comes from
  • Your marketing team approves or returns every piece
  • Approved and rejected pieces feed the next round of training
  • An evaluation set run before every new model version

Franchisee support centre

Hypothetical. Not a client, not a result.

// The problem

Head office's support line answers the same questions from franchisees and their staff all day, in English, French and Spanish, about equipment, recipes, procedures and systems.

// What we would build

A support centre with articles drawn from your operations manual and equipment guides, in English, French and Spanish, and an assistant that answers from them, cites the page and hands harder questions to your support team. We run an open-source model in your own cloud account, because the manual is confidential and stays out of anyone else's systems.

// What is in it

Supplier ordering, rescued

Hypothetical. Not a client, not a result.

// The problem

A franchisor's ordering intranet, built by a vendor that has since closed, takes franchisee orders for approved supplies and sends them to its distributor, runs on one ageing server, and nobody on staff can change it.

// What we would build

We start with an architecture review of the old system: what it does, where the data is, what is at risk. Then we rebuild ordering as a supported web system, connect it to your distributor by EDI, and move it to managed cloud hosting with monitoring, backups and updates. The review is a fixed first step; the build follows from what it finds.

// What is in it

  • An architecture review of the old intranet, written for your leadership team
  • Ordering from your approved supplier list, with par levels per location
  • Orders sent to your distributor by EDI, with acknowledgements back
  • Order history and spend by location and category
  • Managed hosting with monitoring, backups and updates

Disclosure delivery record

Hypothetical. Not a client, not a result.

// The problem

A growing franchisor sends its franchise disclosure document to prospects through brokers and area developers, and tracks who received which version, and when, in a spreadsheet.

// What we would build

A portal that delivers each version of your disclosure document to a prospect, records the receipt they sign, and fingerprints the document, version and receipt on a small private ledger run by you and your area developers, so everyone holds the same record of what was delivered and when. An e-signature service's audit trail often does this job; the ledger helps when several parties deliver documents and each needs the same record. Timing rules are for your advisers; we build to the ones they set.

// What is in it

  • Each version of the disclosure document stored and labelled
  • Delivery to a prospect with a signed receipt
  • Document, version and receipt fingerprinted on a private ledger
  • A node for the franchisor and one for each area developer
  • Reminders before a waiting period your advisers set comes to an end
  • Nothing in it gives legal advice or decides when a deal can sign

// questions

What buyers in this industry ask us.

Do you work with franchise systems across Canada?

Yes. We are in British Columbia and work with franchisors and multi-unit franchisees anywhere; we set our working hours around yours. Prices are in Canadian dollars.

Do you give franchise law or tax advice?

No. We scope and build to the requirements your advisers and your accountant set.

How do payments work?

A deposit to start, then payments at agreed milestones, with 10% held until 30 days after launch. The deposit is a smaller share on larger projects.

Who owns the software?

You do, once the work is paid for, including the integrations, the models trained on your data and the documentation.
